Privacy Policy

How we handle the information you share with us through this website, and how the FieldPulse platform is designed to protect data.

Draft for legal review. This page has not yet been reviewed by a lawyer. Items in [square brackets] are placeholders for details that must be confirmed before publication. Last updated 16 October 2026.

1. Who we are

This website is operated by [legal name of the FieldPulse operating company], [registered address], [company registration number] (“FieldPulse”, “we”, “us”). For privacy questions, contact us at [privacy contact email].

2. Information we collect on this website

When you request a demo or contact us, we collect the details you enter in the form:

  • your name, company name, work email address and phone number;
  • your country and, if you choose to give it, the size of your field team;
  • any message you write; and
  • your confirmation that we may contact you, and the date and time of the request.

Like most websites, our hosting provider may record technical information such as IP addresses and the pages requested, to keep the site secure and working. [Confirm hosting provider and log retention.]

This website does not use advertising or analytics cookies, and it does not load fonts, scripts or trackers from third parties. [Update this section if analytics are added.]

3. How we use it

  • to respond to your enquiry and arrange a demonstration;
  • to keep a record of our conversations with prospective customers; and
  • to protect the website against misuse.

We do not sell your information and we do not use it for unrelated marketing without your consent.

4. Legal basis

We process enquiry details with your consent and to take steps at your request before a possible contract. [To be confirmed against Zambia’s Data Protection Act No. 3 of 2021 and the laws of other countries we serve.]

5. Sharing

Your details are available only to the FieldPulse staff who handle enquiries and to service providers that host our systems or deliver email on our behalf, under appropriate agreements. [List processors once confirmed.]

6. How long we keep it

We keep enquiry details for [retention period] after our last contact with you, unless you become a customer or ask us to delete them sooner.

7. Your rights

You can ask us for a copy of the personal information we hold about you, to correct it, or to delete it, and you can withdraw your consent at any time by contacting us. You may also complain to the Data Protection Commission in Zambia or the relevant authority in your country.

8. Data in the FieldPulse platform

Organisations that use FieldPulse decide what their teams record about their customers and agents. For that data, the organisation is generally responsible for how it is used, and FieldPulse processes it on their behalf under a written agreement. [Confirm controller/processor roles in customer contracts.] The platform is designed to protect that data:

  • each organisation’s data is kept separate from every other organisation’s;
  • access is limited by role, team and region and enforced on the server;
  • agents see a notice explaining what is collected before their first working day;
  • location tracking runs only during working days within scheduled hours;
  • WhatsApp reports contain agent-level figures only, never customer details; and
  • location points, lead details and message logs are deleted or redacted after retention periods set per organisation. [Default periods are subject to legal review.]

9. Changes

We may update this policy. The date at the top of this page shows when it last changed.
